Enter the event before making a print

1. Name the event. Choose Event and enter a short, clear name in Event title. This field is required. Check the spelling before saving the image.
2. Set the start. Fill Start date and time (your local time). Use the date and clock time for your browser's local time zone. There is no time-zone selector. If the event is elsewhere, convert its start to your local time first.
3. Check the end. Use End date and time (optional, defaults to one hour later) to set the end. It must be after the start. Leave it empty for a one-hour event. Check the end date for an event that runs past midnight.
4. Add practical details. Use Location (optional) for the venue or address and Description (optional) for a short instruction, such as “Meet at the front desk.” Save the image and test the calendar details before sharing it.

An open house example

For an open house on October 15, 2026, from 18:00 to 19:00 in your local time, enter “Open house” in Event title and set those start and end times. Add your venue in Location (optional) and “Meet at the front desk” in Description (optional). Use your own date and details. Print the title, local date, time, and address beside the code for guests without a compatible scanner.

Calendar support depends on the reader

The code holds iCalendar text containing a calendar and an event. Google documents calendar parsing in its ML Kit barcode software, but that does not establish what every camera app does. We do not promise that the built-in iPhone or Android camera adds this event. A calendar-capable scanner may offer an add step; another reader may simply show the text.

No event is automatically saved by this generator. Test with your guests' devices. If a scanner offers a calendar entry, review the title, location, start, and end before accepting it. If the reader only shows text, consider an event-capable scanner or share a link to your existing event page instead.

Time zones and permanent details

The tool converts the local times you enter to UTC in the calendar record. A calendar app normally displays them in the phone's own time zone. Guests elsewhere may see a different clock time for the same moment. A reader showing raw text shows UTC times ending in Z. Check your browser's time zone and the scanned result, especially for travel or remote meetings.

The event is written into the code, so it cannot be changed after printing. A changed date, venue, or description needs a new image and replacement prints. It also cannot update an entry someone already saved. For changing plans, use a link code to an event page you already have and maintain information there.

Keep the print simple

Start at least 2 cm / 0.8 in wide, use dark squares on a light background, and preserve the blank quiet margin. Calendar data can make a dense pattern, so use short details and increase the printed size if needed. Test one finished invitation before printing many.

If scanning fails, check focus, contrast, and the full square. If it scans but offers no calendar action, check reader support. Anyone who decodes the code can read the event details; do not put private meeting instructions in a public image.
